Manager of Secretarial Services

SourcePro Search has a fantastic opportunity for an experienced Manager of Secretarial Services in New York City (Midtown).  We are working with a large global law firm and this role will be responsible for a large team of legal secretaries.  The successful candidate will have a Bachelor's degree (advanced degree preferred) and at least 8- years of experience in a professional services environment as well as at least 5-years of management experience. The incumbent will be responsible for all aspects of Human Resource including, hiring, retention, benefits administration, professional development, employee evaluations and other tasks as may be needed.
 
Role Responsibilities:
  • Monitor day-to day work flow of secretaries
  • Evaluate desk assignments regularly to ensure an equitable distribution of work and level of service; make recommendations for needed adjustments
  • Advise attorneys of secretarial absences and backup plans in secretary’s absence
  • Coordinate directly with attorneys for short absences, such as lunch hour, doctor’s appointments, etc.
  • Oversee temporary/floater secretaries assigned to desks
  • Monitor attendance/punctuality of secretaries
  • Consult regularly with attorneys to determine whether their needs are being met
  • Monitor floor environment (i.e. file allocation, maintenance/condition of desks and work areas, etc.)
  • Assist in the coordination of departmental moves (phone orders, file allocation, communication to secretaries, coverage changes)
  • Enforce existing procedures and make recommendations to increase efficiency and service levels
  • Assess quality of work performed and prepare/deliver annual evaluations
  • Act as a liaison between secretary, attorney and manager on employee relations issues
  • Follow-up on performance issues on a regular basis
  • Interview new secretaries as needed and closely follow performance of new hires
  • Provide back-up for other supervisors in their absence
  • Provide on-the-spot coaching when needed
  • Assist with technical issues​
