New Business Intake (Conflicts) Specialist

The New Business Intake Specialist is responsible for the daily processing of new matter information;  maintenance of existing information as requested by the attorneys and staff and assisting with the upkeep of the firm wide ethical wall program.  This position must have excellent data entry skills and posses the ability to work in a fast-paced, demanding environment.
 
Duties & Responsibilities:
  • Review of matter packets for accuracy and completeness based on departmental guidelines before submitting to the Client Duty Officer for approval
  • Review of AML documentation for accuracy and compliance for New Client Matter Packets received; communicating missing information to the requestor.
  • Notifying the AML Coordinator, in full detail, of questionable documentation or requests.
  • Corresponding with the designated Compliance Officer when necessary.  Tracking the approval process of the client intake package and any applicable engagement letters, consent letters, waiver letters and any other documentation required by Firm and departmental practices and procedures.
  • Entering  new client/matter information into Elite, the Firm’s financial database being careful to meet all client and billing attorney requests and requirements including the accurate completion of all client/matter fields.
  • Notifying attorneys, secretaries and applicable records department of new number assignment.
  • Daily maintenance and upkeep of the Firm’s client and matter information in Elite.
  • Making various changes to client and matter records as requested by Firm personnel, obtaining approvals when appropriate.
  • Assist with the upkeep of the ethical wall system, including corresponding with attorneys and staff inquiries on logic behind an ethical screen; including researching the need for the ethical wall; the review of prohibited users and updating the system, if applicable, based on the attorney feedback.
  • Preparation of timekeeper reports for the audit staff, paying close attention to date deadlines.
  • Carefully adhering to the departmental and Firm standards as they relate to obtaining executed engagement letters.
  • Assisting all Firm personnel with Client Intake requests, questions, and projects.
  • Additional responsibilities and projects as assigned by the Senior Client Intake and Conflicts Manager or the Lead  Conflict Analyst/AML Coordinator.
 
Education & Experience:
  • Bachelor’s Degree required; prior law firm experience preferred but not required.
  • Strong analytical skills, as well as ability to organize and produce detailed and accurate work.
  • Ability to multi-task, excellent written, oral and communication skills.
