SourcePro Search has a fantastic opportunity for an experienced Managing Clerk with our top ranked global law firm client in New York.
The ideal candidate is responsible for the Managing Clerk’s Office’s daily activities.
The responsibilities comprise a full-service Docket and Court Services Department that includes filing, serving and retrieval of court documents either physically or electronically in both the New York and New Jersey Offices.
The Managing Clerk is also responsible for relevant electronic filings in all State and Federal courts.
The Managing Clerk also provides guidance to attorneys and staff primarily on the State and Federal courts’ rules, and the processing of incoming court documents (both paper and electronic), calendaring relevant dates, and running reports.
The Managing Clerk and its team will accept service of documents on behalf of the Firm in the New York office and will identify areas requiring reinforcement training of new courts’ practices and procedures.

What You'll Do:
  • Advise attorneys on procedural matters and discuss strategy;
  • Advise attorneys of newly instituted practices and procedures in State and Federal courts;
  • Alert attorneys of incoming court papers, notices and impending deadlines;
  • Delegate work assignments to Assistant Managing Clerk and outside court services; Review and calendar due dates for state and federal court via Compulaw;
  • Update Compulaw Rules, Court Rules and database as needed; Prepare and publish the Firm’s Litigation Calendar on a daily basis;
  • Update and maintain Compulaw’s information data fields;
  • Research cases by various methods including PACER, Practical Law, Westlaw, Lexis, CourtLink, Internet searches, etc.;
  • Provide attorneys and staff with e-filing parameters for State and Federal courts;
  • Perform e-filing in state and federal courts;
  • Maintain and update list of attorneys’ e-filing credentials for State and Federal courts;
  • Draft various legal documents such as notices of entry, stipulations, notices of appearance and affidavits of service;
  • Accompany attorneys to court for filings and special proceedings;
  • Monitor cases in Federal and State courts, governmental and administrative agencies;
  • File and retrieve pleadings both manually and electronically;
  • Trips to courts to file, retrieve and deliver courtesy copies of documents (trips to court on emergent basis);
  • Extract, calculate, enter and update due dates, case and docket information on Compulaw;
  • Monitor cases and conduct research on litigants, as well as coordinating with outside vendors to obtain copies of filed documents;
  • Establish and maintain good working relations with court personnel including process servers and outside service vendors;
  • Keep docketing system updated by ensuring that all documents are entered for each case and that the deadlines are calculated correctly;
  • Responsible for special projects as assigned.
Supervisory Responsibilities:
  • Plan and coordinate department’s working activities;
  • Work well in group problem solving situations;
  • Exhibit sound and accurate judgement; Provide and welcome detailed feedback to staff;
  • Demonstrate professional, written and verbal communication skills to attorneys and staff;
  • Willing to undertake training and development to keep abreast of industry standard;
  • Provide training to assistant clerk with respect to Calendar Event via Compulaw, procedural research via Practical Law and document filing and retrieval; Set attainable goals for staff and provide constructive appraisal of the performance;

What You'll Bring:
  • 10 plus years of experience in Managing Clerk’s office required.
  • Bachelor’s degree or more preferred.
  • Proficiency in utilizing online court databases including PACER, Etrack, CourtLink;
  • Ability to timely and accurately calculate deadlines in various jurisdictions, including Trial and Appellate Courts;
  • Arbitration matters;
  • Excellent communication and interpersonal skills; attention to details;
  • Able to organize and prioritize issues and handle competing priorities;
  • Ability to take initiative in handling projects and anticipating what needs to be done;
  • Proficiency working with Compulaw, PACER, CourtAlert, CourtLink and the NYS Unified Court System;
  • Solid working knowledge Federal Rules of Civil Procedure (FRCP) and the NY Civil Practice Law & Rules (CPLR), local court rules and actions;
  • Thorough understanding of electronic case filing in Federal, State and Bankruptcy courts;
  • Possess a Notary Public license.
  •  Work Schedule: (Hybrid) 9:30 a.m. – 5:30 p.m.
