Litigation Administrative Assistant

SourcePro Search is conducting a search for a Litigation Legal Administrative Assistant for our top-rated international law firm in their San Francisco office.
 
The ideal candidate will have a minimum of three years’ litigation experience to be a part of the Administrative Services team. The successful candidate will support litigation attorneys at different levels in managing their day to day tasks. This is a hybrid role and will require you to work in the office as scheduled.

What You'll Do:
  • Type and assemble, in final form, legal pleadings for filings in all state and federal courts including proofreading and editing documents for accuracy, entering data into databases and ensuring that deadlines are met.
  • Draft letters, memos, labels, envelopes, work reports, bills, travel expense reports and other reports and forms as required and proof for accuracy.
  • Create, edit and proofread legal documents.
  • Maintain good communication with clients, attorneys and staff.
  • Prepare client billing and input time entry.
  • Schedule travel and meeting arrangements.
  • Make, screen and route telephone calls, place conference calls and schedule appointments.
  • Create and maintain legal files and indices.
  • Set up and maintain files and records.
  • Assist attorneys with client outreach and business development needs when requested.
  • Maintain and update calendar and interactions in Outlook.
  • Plan logistics and work in conjunction with the Office Services Coordinator to coordinate external and internal events. 
  • Assist with overflow work as requested.
  • Perform other duties as assigned.
 
What You'll Bring:
  • Proficiency in Microsoft Office Suite required.
  • Knowledge of general office procedure and practice.
  • Experience filing pleadings in state and federal courts required.
  • Update job knowledge by participating in educational opportunities within the firm.
  • Ability to work well under pressure.
  • Excellent prioritization and organizational skills with the ability to multi-task efficiently and meet deadlines in a fast-paced environment
  • Ability to communicate effectively, both orally and in writing with all levels of Firm personnel
  • Ability to work independently and as part of a team
  • High degree of accuracy and attention to detail
  • Willing to participate in educational opportunities within the Firm
  • High level of discretion while working with sensitive information and document
