Summary
The Legal Assistant in the New York office provides comprehensive secretarial and administrative support to assigned fee earners. This role involves preparing legal documents, conducting research, and handling various administrative responsibilities, ensuring seamless operations and superior client service.
What You'll Do:
- Document Production: Draft, revise, and proofread legal documents and correspondence, ensuring accuracy and professionalism.
- Administrative Support: Act as a liaison between attorneys, the leadership team, clients, and external partners. Manage schedules, travel arrangements (domestic and international), and meeting coordination.
- File Management: Maintain and update client and administrative files, ensuring confidentiality and compliance with firm policies.
- Client Communication: Handle incoming calls, prioritize messages, and assist in correspondence with clients.
- Billing and Timekeeping: Prepare, edit, and send client bills. Accurately record and enter attorney timesheets in a timely manner.
- Database Management: Update and maintain contact information and business development activities in the InterAction database.
- Event Coordination: Arrange meetings, reserve conference rooms, and ensure proper multimedia setup.
Additional Responsibilities:
- Provide reception coverage and general office support as needed.
- Offer evening or weekend support, demonstrating flexibility and a team-oriented approach.
- Take on other tasks or assist different fee earners as assigned by the firm.
What You'll Bring:
- Education: Associate’s degree preferred.
- Experience: Minimum 3 years as a Legal Assistant, with a litigation background preferred. Document management experience (NetDocs preferred) is essential.
- Skills:
- Proficiency in Microsoft Office Suite and internet applications.
- Strong administrative, organizational, and attention-to-detail skills.
- Excellent verbal and written communication abilities.
- Ability to work both independently and collaboratively with co-workers and clients.
- Professional demeanor and ability to remain composed under pressure.
